Full-Time/Part-Time Guidance Counselor (Ref: LST/FT/PTGC/20170606_isf)

The ideal candidate will satisfy the following requirements:

  • A recognized degree in Psychology/Counseling/Social Work or other relevant discipline
  • years of solid working experience in counseling roles, preferably in school setting
  • Fluency in both English and Putonghua-Chinese with strong communication skills
  • Excellent interpersonal skills, case work and group work skills

The appointee will report to the Director of Learning Support and will work within a multi-disciplinary Learning Support team. The appointee is expected to provide school-based counseling support for students on individual as well as group basis, work closely with parents and teachers, implement student well-being programs, collaborate with different teaching and pastoral teams whenever appropriate to ensure students’ diverse needs are met holistically.

Administration and Support Staff

 

Administrative Assistant (Ref: CCA/AA/20170619_isf)

Responsibilities:

  • Involve in the daily operation on department activities, and coordinate with faculties and teaching staff.
  • Perform counter service and handle telephone enquiries with a high level of professionalism.
  • Render English-Chinese written translation duties.
  • Provide administrative support, including data entry, email responses, logistics on local and international travel arrangements.
  • Perform any other administrative duties as required.

Requirements:

  • Degree in Business Administration or relevant discipline with a minimum of 1 year of work experience.
  • Good command of both written and spoken English and Chinese, including Putonghua /Mandarin.
  • Able to work independently, organized with good interpersonal skills and meet Deadlines.
  • Expertise in Google docs.
  • Proficient in Chinese and English word processing, and should possess knowledge and skills in graphics design and other office software applications.

Working Hours

Alternate working hours are set over two weeks period, details as below:

Week 1: Tuesday – Friday 10:00 a.m. -7:00 p.m. and Saturday 8:00 a.m. -5:00 p.m.

Week 2: Monday – Friday 10:00 a.m. -7:00 p.m.

Administrative Assistant (Ref: SEC/AA/20170707_isf)

Responsibilities:

  • Provide administrative support for the Educational Technology Centre.
  • Translate documents, resources and communication for the Educational Technology Centre
  • Perform data correction and updates to the school’s student information system.
  • Support the daily office operations and handle all purchasing and vendor communications.
  • Participate in group meetings.

Requirements

  • Associate Degree / Higher Diploma or above.
  • Fresh graduates will also be considered.
  • Good knowledge of written and spoken English and Chinese, including Putonghua/Mandarin.
  • Competent computer skills; proficient in PC applications including MS Word, Excel, PowerPoint and Chinese word processing.

Business Manager (Procurement) (Ref: FIN/BM/20170811_isf)

Responsibilities:

  • Report to Head of Procurement & Business team to manage the sourcing and procurement of categories including teaching resources and related projects, equipment, supplies, furniture, and corporate services etc. for the school to comply with school’s procurement policy;
  • Hands-on performing procurement activities including running RFP/RFQ/ tender document, price benchmarking, conduct commercial and pricing negotiation, and contract management etc.;
  • Manage suppliers’ relationship, evaluate and monitor suppliers’ performance, source new suppliers and products / services from time to time;
  • Maintain, coordinate and manage all resources and supplies inventories;
  • Lead to enhance office environment and perform administrative services;
  • Handle school renovation and office relocation projects;
  • Assist procurement transformation project contribute to the continuous improvement of procurement process, plus other ad hoc duties as assigned.

Requirements:

  • Bachelor’s Degree in Business Administration, Procurement or related disciplines;
  • Minimum 8 years’ related experience (including 3 years of supervisory experience) in corporate services procurement / office administration in a MNC or with multinational teams;
  • Strong procurement and project management skill set, sound stakeholder management skills;
  • Mature, self-motivated, proactive, analytical, detail-oriented and able to work independently and under pressure to meet strict deadlines;
  • Excellent communication and interpersonal skill, strong negotiation skills, fast learner and team player;
  • Good command in both written and spoken English and Chinese (Cantonese and Mandarin) is required;
  • Proficiency in Microsoft Office;
  • Previous work experience with ERP Procurement system, such as SAP would be an advantage;
  • Immediate available is preferable.

Communications and Publications Officer/Assistant (Ref: C&C/CPO/20170726_isf)

Responsibilities:

  • Assist in coordinating, translating and/or proof-reading school publications and marketing materials
  • Manage information folders for parents on the Portal/PowerSchool
  • Assist in updating/uploading circular items and school events on the portal calendar
  • Assist with school events
  • Render ad hoc translation and editing support for different departments/offices
  • Assist in updating and editing content of TV wall, campus TVs and electronic signages

Requirements:

  • Degree holder in translation, English or Chinese language with minimum 1 year translation or editorial experience is preferable
  • Excellent command in written and spoken English and Chinese (Putonghua and Cantonese)
  • Willing to work overtime or weekends if required
  • Well organized, Self-motivated and good team player
  • Candidate with less experience will be considered as Communications and Publications Assistant

Facilities Management Officer/Property Officer  (Ref: FMO/FMO/20170626_isf)

Job Responsibilities:

  • Responsible for FM Helpdesk Services;
  • Handle all incoming calls and emails and reply to users directly;
  • Provide support and solutions to users on FM work requests; 
  • Maintain all necessary record under SAP and Internal Systems;
  • Monitor the day-to-day FM operations;
  • Monitor the performance of cleaning, moving, security, landscape, pest control and other services contractors;
  • Assist to prepare service contracts;
  • Assist to handle pre-management of new buildings, including defects handling;
  • Organize and co-ordinate school events and activities;
  • Perform general clerical and administrative duties; and
  • Carry out other duties as assigned by Facilities Manager/ Head of Project and Facilities Management

Requirements:

  • Degree hold in Facility / Property / Housing / Estate Management / Business Administration or related disciplines plus at least three year’s relevant customer services experience;
  • Possess hands-on MS office applications including Excel, PowerPoint and Chinese Word Processing;
  • Possess good interpersonal and communication skills and able to work independently;
  • Pleasant, responsible and detail-oriented;
  • Green card and First Aid certificate is preferred;
  • Willing to perform duties in irregular hours is required;

IT Support Administrator (Ref: IT/ITSA/20170615_isf)

The successful candidate will:

  • Provide day-to-day IT support to staff members, students and parents of the Academy.
  • Provide support of hardware, classroom IT facilities, software, network, e-mail, office applications and educational software.
  • Assist in the organizing and running of any IT related activities.
  • Install and configure computer hardware, software systems, network equipment and printers.
  • Repair equipment and replace parts.
  • Set up new users' accounts and profiles and deal with password issues.
  • Troubleshoot system and network problems; diagnose and resolve hardware or software faults.

Minimum requirements:

  • Higher Diploma or above in Information Technology or related discipline.
  • Knowledge of OS X and Windows Operating System. Linux familiarity is an advantage.
  • Knowledge of Microsoft Office (both Windows and Mac environment).
  • Knowledge of administering users and computers via Active Directory.
  • Good team player, self-motivated, mature and able to work independently.
  • Good command of both spoken and written English, Cantonese & Putonghua).

Procurement Officer (Ref: FIN-PO/20170718_isf)

Major Responsibilities:

  • Perform sourcing and procurement of all teaching resources, equipment, supplies, and furniture for the school.
  • Assist tendering process, perform supplier / pricing evaluation and recommendation, assist contact drafting, delivery expediting, and inventory control etc.
  • Responsible for purchase order and receipts data entry, delivery coordination, distribution and inventory tracking etc.
  • Provide support in enhancing office environment and perform administrative services; and support in school renovation and relocation projects.
  • Maintenance of general office and all purchase file related records.
  • Assist in various ad hoc tasks of the department and prepare management report as assigned.

Minimum Requirements:

  • Bachelor’s Degree in Business Administration, Procurement or related disciplines.
  • Minimum 3 years’ relevant experience in the area of procurement / office administration.
  • Mature, self-motivated, detailed-oriented, organized, proactive, and able to work independently and under pressure to meet strict deadlines.
  • Good communication and negotiation skills
  • Good command of both written and spoken English and Chinese, including Putonghua.
  • Strong PC skills and knowledge.  Previous work experience with SAP Purchase order System would be an advantage.

  • Responsible for all-round receptionist duties including greeting visitors, handling incoming couriers and mails, answering general enquiries
  • Perform daily operation on department activities, and coordinate with other parties in the campus

  • Answer incoming calls and direct calls to the relevant offices
  • Assist in ad-hoc duties and administrative work as assigned by the Foundation Secretary

Senior School Administration Officer / University Guidance Counselor (Ref: CLA-SSAO_UGC/20170811_isf)

Responsibilities:

  • Act as the first point of contact for Senior School University Guidance Counseling matters and following-up on enquiries
  • Work closely with Counselors to ensure proper coordination of tasks
  • Maintain a public calendar of all public HK events related to university guidance counseling
  • Arranging update notifications and communications
  • Arranging translation of appropriate written communications and translate at events as required
  • Communicating with parents in submission of key application documents
  • Make travel, event and professional development organization / reimbursement arrangements for staff and university visitors
  • Manage event management of university visits, university fairs, field trips and the Senior School Book Awards
  • Arranging oversight of HK-based university relations and visits

  • Manage online application systems including being the contact point & expert system user and systems integration manager
  • Maintain a proper and user-friendly filing and document control system for recording and tracking of all documents

Requirements:

  • Degree holder or above in communications
  • Ability to work to a high standard with all colleagues, as well as wider community (e.g. parents, vendors)
  • Excellent interpersonal skills, ability to multi-task and work independently, project coordination experience
  • Excellent command in spoken and written English, Putonghua/ Mandarin, Cantonese
  • Strong computer and office equipment skills
  • Sensitivity to confidential matters is required
  • Able to work during the school holidays as required to
  • Immediate availability is preferred.
