Administration and Support Staff

 

Accounting Assistant  (Ref:FIN/AA/20181009_isf)

 
Responsibilities:
  • Handle and maintain student billing, process receipts and statements, and be responsible for receivable collection.
  • Prepare vouchers and journal entries.
  • Prepare accounts reconciliation and preparation of accounting schedules.
  • Assist in month end closing, developing accounting policies and procedures.
  • Handle enquiries and liaise with parents and staff.
  • Provide daily support to accounting operations.
  • Assume other responsibilities as assigned.
Requirements:
  • Bachelor Degree holder in Accounting or Business related disciplines.
  • 2 years of Accounting related experience (fresh graduates may also be considered).
  • Proficiency in Excel vlookup and pivot table function and Word (knowledge of SAP will be an advantage).
  • Great communication and interpersonal skills, ability to prioritize work.
  • Good command of written English, Chinese and Mandarin.
  • Immediately available preferred.

Administration and Front Desk Officer  (Ref:FS/ADFO/20181008_isf)

 
Major Responsibilities:
  • Responsible for all-round receptionist duties including greeting visitors, answering general enquiries, etc.
  • Provide administrative support to the Foundation Secretariat Office
  • Perform daily operation of the department and coordinate with different parties
  • Respond to incoming telephone and email enquiries
  • Carry out ad-hoc duties as assigned by the Foundation Secretary
Requirements:
  • Diploma holder or above with minimum 5 years' front desk and office administration experience
  • Excellent telephone manner and communication skills
  • Pleasant, good working attitude and a team player
  • Detail minded, well-organized and able to prioritize work
  • Good command of spoken and written English and Mandarin

Facilities Management – Project Manager (Ref:FMO/PM/20180910_isf)

 
The successful candidate will be responsible for overseeing project works, preventative and corrective maintenance to ensure the facilities are operated efficiently in accordance with the statutory requirements and to conduct the following tasks independently and diligently: 
 
Job Responsibilities:
  • Assist the Head of Projects & Facilities Management and contribute to the overall strategy goals of the office
  • Prepare design and development proposals, including scope of capital works, major repair & maintenance works, and addition, alteration & improvement project
  • Liaise with government departments and consultants (if any) in matters relating to these campus projects
  • Prepare tender and analysis reports with recommendations to various committees/authorities for the approval
  • Conduct site visits when necessary and monitor site performance to ensure meeting the required standards until the completion of the works
  • Maintain a high level of health and safety standards of the campus
  • Prepare annual capital and operational budgets
  • Any other assignments assigned by the Head of Projects & Facilities Management
Requirements:
  • Degree or equivalent in Building related discipline
  • At least eight years of relevant and solid experience in project management preferably in international or private school projects
  • Possess good command of both written and spoken English and Chinese (including Mandarin)
  • Possess a high degree of proficiency in using AutoCAD and MS Office applications
  • Good interpersonal and presentation skills
  • Able to work under pressure, independent and with minimum supervision

Guidance Counselor (1-Year Contract) (Ref:LST/GC/20181008_isf)

 

The appointee will report to the Director of Learning Support and will work within a multi-disciplinary Learning Support Team (LST). The appointee is expected to provide school-based counseling support for students on individual as well as group basis, work closely with parents and teachers, implement student well-being programs, collaborate with different teaching and pastoral teams whenever appropriate to ensure students’ diverse needs are met holistically.   

The ideal candidate will satisfy the following requirements:

  • Bachelor’s degree in Psychology/Counseling/Social Work or other relevant discipline; Master’s degree preferred
  • At least 5 years of relevant counseling experience in working with children and adolescents
  • Experience in bilingual school setting preferred
  • Experience in leading student well-being programs/projects
  • Proficiency in English and Chinese with strong communication skills
  • Excellent interpersonal skills, case work and group work skills

Job Responsibilities:
 
  • Provide specific squash coaching to students to expand skills and elevate their games. 
  • Keep accurate records and schedules. 
  • Any other duties that the Head of Co-Curricular Activities sees fit.
Requirements: 
  • Solid experience of coaching squash within schools.
  • Certificate for qualified Level 1 Coach; advanced level will be preferred. 
  • Capable of planning and delivering against identified goals. 
  • Excellent communication skills.

Part-Time Swimming Instructor (Ref:CCA/PTSI/20181019_isf)

 
Responsibilities:
 
  • Deliver hands on instruction of the Aquatic Program at The ISF Academy;
  • Maintain flow and continuity of all lessons, ensuring correct and accurate technique is taught and lessons achieve positive results;
  • Ensure swim areas are set up before each lesson and maintain the tidiness after the coaching session, lesson plans are followed and lesson attendance is accurately recorded;
  • Prepare appropriate lesson plans and show initiative in improving lesson plans;
  • Take an active role in promoting the Aquatic Program to the ISF community.
Working Hours:
  • Every Monday, Wednesday and Friday: from 8:00 a.m. to 5:30 p.m.
  • Every Saturday: from 8:30 a.m. to 12:30 p.m.
Requirements: 
  • Possess a valid HKASA swimming instructor certification or equivalent from an internationally recognized association;
  • Possess a Hong Kong Life Saving Society Bronze Medallion or equivalent from an internationally recognized association;
  • Possess a valid first aid and CPR certificate;
  • Have at least 3 years’ experience in assisting teaching aquatics including infant, learning to swim and competitive elements;
  • Fluency in English and/or Mandarin is essential;
  • Strong administrative skills with excellent command of Microsoft Office and Google Docs.

Procurement Officer (3-Month Contract) (Ref: FO/PO/20180920_isf)

 
Major Responsibilities:
  • Assist in the sourcing and procurement of all materials, supplies, service, equipment, and furniture etc. for the fund raising project and school event.
  • Coordinate with user department to ensure all procured goods and services are fit for use and delivered on time.
  • Assist in supplier/pricing evaluation and recommendation, tendering process, purchase management, delivery expediting, and inventory control etc.
  • Responsible for purchase order and receipts data entry, delivery coordination, distribution and inventory tracking etc.
  • Maintenance of general office and all purchase file related records.
  • Assist in various ad hoc tasks of the department and prepare management report as assigned.
Requirements:
  • Degree / Diploma holder in Business Administration, Procurement or related disciplines.
  • Minimum 2 years’ relevant experience in the area of office administration / procurement.
  • Mature, detailed-oriented, organized, independent, takes initiative and be able to work under pressure and meet strict deadlines.
  • Good communication and negotiation skills.
  • Good command of both written and spoken English and Chinese, including Putonghua.
  • Strong PC skills and knowledge.  Previous work experience with SAP Purchase order System would be an advantage.
  • Candidates with lesser experience will be considered as Procurement Assistant. 
Service Period: 
  • To start as soon as practicable, contract will last for approximately three months
  • A gratuity may be offered upon successful completion of the three months’ service

Job Responsibilities:
  • Handle statutory / regulatory compliance matters, prepare full set of corporate documents and maintain proper statutory record for Hong Kong and overseas companies
  • Organize board meeting and general meetings
  • Draft board paper and minutes of meetings
  • Review legal documents
  • Liaise with lawyers, government authorities and other professionals
  • Handle ad-hoc assignment
  • Report to the Foundation Secretary 
Requirements:
  • At least seven year's working experience in company secretarial position in NGO(s) 
  • Bachelor Degree holder or equivalent 
  • Preferably a member of HKICS
  • Good command of written English and Chinese; general command of Mandarin
  • Independent with minimal supervision, good international skill, detail-minded, well-organised and strong sense of responsibility
  • Proficient in computer knowledge including MS Word, Excel and Chinese word processing

Senior Facilities Management Officer / Facilities Managerment Officer (Ref:FMO/SFMO/20180928_isf)

 
Job Responsibilities: 
  • Responsible for FM Helpdesk Services;
  • Handle all incoming calls and emails and reply to users directly;
  • Provide support and solutions to users on FM work requests; 
  • Maintain all necessary record under SAP and Internal Systems;

Requirements:

  • Green card and First Aid certificate is preferred;

Job Responsibilities:
  • Assist the Head of Communications and contribute to the overall strategy goals of the office e.g. school events, outreach programs, publication, translation and other new initiatives etc.
  • Assist in coordinating, drafting, translating and/or proof-reading school publications and marketing / media materials 
  • Manage information folders for parents on the Portal/PowerSchool
  • Assist in drafting, updating, uploading circular items and school events information on the portal calendar
  • Assist with school and media events 
  • Render ad hoc translation and editing support for different departments/offices
  • Assist in drafting, updating and editing content of TV wall, campus TVs and electronic signages
  • Any other assignments assigned by the Head of Communications
Requirements:
  • Bachelor Degree in Communications , Journalism, Translation or related disciplines
  • Minimum 4 years of experience in journalism or corporate communications or editorial work  is preferable
  • Excellent written and verbal communication skills in English and Chinese (Cantonese and Mandarin)
  • Willing to work overtime or weekends if required 
  • Well organized, self-motivated and a good team player
  • Candidates with less experience will be considered as Officer

Responsibilities:
  • Responsible for operation and management of the technical facilities;
  • Provide supports and solutions to users on FM work requests;
  • Maintain all necessary record under SAP and Internal Systems;
  • Monitor the day-to-day technical operations;
  • Monitor the performance of R&M and other services contractors;
  • Responsible for preparation on service contracts;
  • Assist to handle pre-management of new buildings, including defects handling;
  • Assist in the preparation of works orders and site instruction to contractors; 
  • Assist in checking of payment bills, as-fitted drawings, operation and maintenance manuals submitted by contractors;
  • Perform general clerical and administrative duties; 
  • Willing to perform duties in irregular hours is required; 
  • Carry out other duties as assigned by Technical Manager / Facilities Manager/ Head of Project and Facilities Management.
Requirements:
  • Degree or above in any discipline of Building Surveying, Building Services Engineering, Mechanical Engineering or other related discipline;
  • A minimum of 5 years of experience in technical aspect of Property Management Company, Maintenance Contractor or relevant job exposure, of which 2 years should be at supervisory level;
  • Experience working in sizable and complex organizations, experience in NGO or education sectors would be an advantage;
  • Holder of Certificate of Registration of Electrical Worker Grade A or above and Green Card;
  • Holder of Certificate of Registration of Electrical Worker Grade B is preferable;
  • Good command of both written and spoken English and Chinese, including Putonghua/Mandarin;
  • Knowledge and experienced user of modern SAP / ERP systems.

Requirements:

  • HKDSE holder with 5 passes including English and Chinese.
  • Holder of the Certificate for Library Assistants and work experience in a library environment preferred.
  • Able to speak fluent English and Mandarin, and be able to work independently, with good organizational and interpersonal skills.
  • Good knowledge of Chinese and English word processing, library information systems and other office software applications.
  • Available to work one or two days per week (depends on the actual business needs)
