Administrative Officer (ELP)
The Administrative Officer provides comprehensive administrative and operational support to ensure the smooth delivery of co-curricular and experiential learning programs. The role coordinates logistics, manages registrations and documentation, liaises with internal and external stakeholders, and supports financial and event-related administration. The position contributes to enhancing program effectiveness and participant experience through efficient organization, communication, and continuous improvement.
Responsibilities
- Coordinate transportation, accommodation arrangements, and scheduling for local and overseas programs;
- Liaise with overseas service providers, vendors, and internal departments to support program delivery;
- Assist in preparing program materials, handbooks, and pre-departure information for participants;
- Manage online registrations, maintain participant records, and track program attendance;
- Collect and organize travel documents, consent forms, and required student information;
- Ensure accurate documentation and compliance with school procedures and safety requirements;
- Respond to enquiries from parents, teachers, students, and external partners in a professional and timely manner;
- Facilitate communication between program teams, finance, and procurement units;
- Assist in monitoring program budgets and processing payments or reimbursement requests; and
- Support procurement processes and vendor coordination for program resources and services.
Requirements
- Bachelor’s degree in Business Administration, Education, Tourism, Communications, or a related discipline;
- Relevant experience in program coordination, event management, or administrative support;
- Strong organizational and multitasking skills with the ability to meet tight deadlines;
- Experience supporting overseas trips, student programs, or school operations is an advantage;
- Strong sense of responsibility with attention to detail and accuracy;
- Effective communication and interpersonal skills with a service-oriented approach;
- Proficiency in Microsoft Office / Google Workspace and data management; and
- Good command of written and spoken English and Chinese (including Mandarin).
